Your data and your privacy are important to us and we do everything we can to store your data securely and use it with respect.

The Academy for Yoga Training (AFYT) will use your data only for the purposes for which you have supplied it, and we will not share it with any other organisation without your permission. We have reviewed our data policy in line with the General Data Protection Regulation (GDPR). The information below gives an overview of our policies in regard to privacy and data, but if you have any queries please contact us.

Please note that, upon registration as a student on an AFYT course, you consent to your contact details (name, email address and telephone number) being passed to our partners, Yoga Alliance Professionals, so they can contact you directly and invite you to register as a Trainee and Teacher.

We do not sell, trade, or rent the personal identification information of our students, or those who enquire about our services, to others.

This information relates to personal data collected by us via:

  • Our website

  • Email correspondence

  • Telephone calls

  • Social media

What information we collect about you

We collect information about you when you register with us or enquire about one of our courses or other events. We also collect information about you when you voluntarily provide feedback to us. This information may include:

  • Your name, contact details, and details of any organisation or business you work for.

  • Information generated by the relationship we have with you, including (in addition to the above) your bank and financial details.

  • Information generated by visiting our website or engaging with us on social media.

How we collection information about you, and how we use it

We may collect and process information that you provide during your correspondence with us. This could be, but is not limited to, one of the following ways:

  • Giving information to us directly e.g. by filling in the contact form, registration form, or application form on our website, or via other media.

  • Requesting information.

  • Communicating with us directly via email or telephone.

We only use your personal information when the law allows us to. Usually, we use your information in the following circumstances:

  • Where you have given consent for us to process your information e.g. as part of a course application.

  • Where we need to perform the contractual obligations we have entered into with you personally.

And for one or more of the following purposes:

  • To manage our relationship and administer our business as part of our contract with you.

  • To carry out a request.

  • To improve our customer service, including through a more personalised user experience.

  • To send you marketing and information about our business and services via email. You can unsubscribe from these communications via the ‘unsubscribe’ link in the emails.

Photographic images

We sometimes take photographs for promotional purposes. If any client objects to a photograph being taken or used in this way, they must let the teacher know at the beginning of a class. Teacher trainees are encouraged to take photographs and videos throughout their training to aid them with personal development and feedback.

How we protect your information

We have adopted appropriate data collection, storage and processing practices and security measures to protect against unauthorised access to, or use of, your personal information.

Sharing your information

We will not share your information with anyone who is not contracted to work with you, unless we have a legal obligation to do so.

The information shared about you with the teachers who work for us will be limited to what they need to know to carry out their duties and responsibilities.

Third party websites

You may find advertising or other content on our website that links to the websites and services of our partners, suppliers, or other third parties. These websites are outside of our control and we do not accept any liability for the content of those websites or the way in which they may collect, store, or use your data. These sites and services will have their own privacy policies and you are advised to read them.

Your choices in relation to personal information

It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your relationship with us. You also have rights which you can exercise with regard to the data we hold about you. Specifically, you have the right to:

  • Obtain access to your personal information

  • Withdraw your consent, including opting out of our email marketing, at any time

  • Ask us to correct any errors, or delete any information we hold

  • Object to, or restrict, our processing of your information

Retention and destruction of personal information

We will take reasonable steps to ensure the accuracy of the information we hold about you. We will not use your personal information unless it is (to the best of our knowledge) accurate and up to date.

We will only retain your personal information for as long as it is necessary to fulfil the purposes for which we collected it, including for the purposes of satisfying UK tax accounting requirements.

Our current retention schedules are as follows:

  • Financial records – 6 years after the end of the relevant tax period

  • Other client records, including contact details and email correspondence – 2 years after our last contact from you

  • Enquiry records (for those who did not subsequently become clients) – 6 months after our last contact from you

Where we have an ongoing working relationship with you, and/or you have consented to receiving information from us, we will retain information beyond these timescales for the effective management of that relationship and communication.

Other issues we want to make you aware of

We use certain programmes and third party apps to help us manage our business effectively and efficiently.  We have chosen each of these carefully and work only with those we are satisfied have the same high standards and commitment to security as we do; we are satisfied that each of them takes proactive steps to meet the required privacy laws, including GDPR. We share details of these below.

Visitors to our website

Our website is built on a software platform called Squarespace. It is also hosted by them. You can read more about the way they ensure site users’ privacy is protected under EU Data Protection laws here:

When someone visits our website we use Google Analytics and Squarespace Analytics to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.  You can find out more about all of this here:

Use of cookies

We use cookies, small pieces of data that websites store on a device, to help our website run effectively and to provide the best experience for our site visitors. Some of these are functional and required cookies that allow visitors to navigate around the website.  Others are analytical and performance cookies. We use a third-party provider, MailChimp to deliver our emails. You can view their privacy policy here.

Complaints

You have the right to complain to the Information Commissioner’s Office if you believe we have not acted within data protection and privacy laws.

Changes to this policy

We may change the terms of this privacy policy from time to time. We will keep it under annual review to make necessary and reasonable changes. We will make changes outside of this in the event of a significant change in the law.
